General
What are telecom credits?
Telecom credits are prepaid usage, and one credit is one cent. A call in the US or Canada uses 1 credit a minute, and a text uses 2. Essentials includes 500 credits per user each month and Business includes 1,000, pooled across your team.
Can I use credits for both calls and messages?
Yes. Credits are a single balance that calls, texts, and faxes all draw from, so you never have to decide in advance how to split your usage.
What happens when I run out of credits?
With auto-reload on, a pack of 2,500 credits is added for $25 when your balance runs low. If you switch auto-reload off in the app, you top up yourself before the balance runs out. Credits you buy never expire.
Are there any setup fees?
No, if you set up yourself in the app, and number porting is free. Guided setup, where we build your call flows and train your team, is $299 for up to 10 users. Desk phones, a VoIP-ready firewall and cabling are optional and priced on the pricing page.
Can I upgrade or downgrade my plan?
Absolutely! You can switch between plans or add/remove features at any time to match your business needs.
Are there any hidden fees?
No. You pay for your plan, the add-ons you choose and any credit packs you buy, plus taxes and government fees. PBXflex does not charge an administrative or "regulatory recovery" fee.
Is number porting free?
Yes. Moving your existing numbers to PBXflex is free on every plan. With guided setup, we handle the port for you.
Do we need to buy desk phones?
No. Every extension works in the web app and on mobile, so you can start without desk phones. If you want them, desk phones can be rented from $5 a month or bought from $89.
Do received calls, texts and faxes use credits?
Yes, at the same rates as sent ones. A call in the US or Canada uses 1 credit a minute in or out, and a text or a fax page uses 2, sent or received.
What does texting registration cost?
Every plan includes a low-volume 10DLC campaign, which carriers require for business texting. A standard campaign, for marketing and higher volumes, is $15 a month.
Should we cancel our old phone service before we switch?
No. Keep your current service until your numbers have moved to PBXflex, so callers can reach you the whole time. Porting is free on every plan.
Features and Customization
What are IVRs and Call Queues?
IVRs (Interactive Voice Response) help route calls automatically, and Call Queues manage incoming calls during high traffic. Both are included on Business. Essentials includes one IVR, ring group or shared voicemail, and more call-flow features are available as add-ons.
How many extensions can I add?
As many as you need. Every user on a plan gets an extension and a local number, and you can add or remove users at any time.
Can I customize the features in my plan?
Yes. Switch plans, add users, or add features like IVRs, call queues and messaging channels at any time.
What is a channel?
A channel is a shared SMS or fax inbox your team works from. Essentials and Text & Fax include 2 channels, and more can be added. Business includes as many as you need.
Web App
Can I manage multiple channels?
Yes. You can add multiple SMS and fax channels to your account and manage them all from the PBXflex app.
Is the web app easy to use?
Absolutely! Our intuitive platform is designed for simplicity, allowing you to manage messages and faxes effortlessly.
Support and Billing
Do you offer customer support?
Yes, we provide dedicated customer support to assist with any technical or account-related questions.
How does billing work?
You receive one monthly invoice for your plan, your users and any add-ons. Usage comes out of your telecom credits, and taxes and government fees are added. We do not charge an administrative or "regulatory recovery" fee.
Can I cancel my plan at any time?
Yes. Every plan is month to month with no contract, so you can cancel at any time.
Texting and Fax
Can patients and clients text our main number?
Yes. Business texting uses your business numbers in a shared inbox, so the team replies as the practice or firm rather than from personal mobiles.
Do we still need a fax machine?
No. Fax is included on every plan as a shared electronic inbox. Incoming faxes arrive as documents, and every outbound fax gets a PDF delivery confirmation.
What happens when the front desk is slammed?
Queues hold callers in order, ring groups ring several people at once, callbacks let callers hang up without losing their place, and shared voicemail keeps messages from being stranded. For texts, away messages and unanswered-message alerts make sure nothing waits too long.
Can we keep our contact lists in sync?
Yes, with Google Contacts. Two-way sync shows a preview first, and you choose which contacts are shared with the team.
Is RCS available today?
SMS and MMS are live for business texting today. RCS Business Messaging is coming, and you can register for early access on the RCS page.
Security
Is PBXflex secure?
Every number, conversation and fax in PBXflex belongs to one organization, and each extension has its own credentials. Your information is protected by administrative, technical and physical safeguards, including encryption. No system is completely secure, and we will not claim otherwise.
What happens to our texts when an employee leaves?
They stay with your business. On PBXflex, texts live in shared inboxes on your business numbers, and every conversation belongs to your organization, not to one person. Remove the user, and the rest of the team keeps the history.
Can another organization use our numbers or see our messages?
No. In PBXflex, every phone number, conversation and fax belongs to one organization, and access checks keep each number usable only inside it.
Do you sell our data?
No. PBXflex does not sell personal information, and our privacy policy says so.
Is our information encrypted?
Encryption is part of how PBXflex protects your information. Our privacy policy lists it among the administrative, technical and physical safeguards we use. If your review needs more detail, talk to our sales team before you sign up.
Do we need to register before we can send business texts?
Yes. Carriers require business texts from a standard number to run on a registered 10DLC campaign. Every PBXflex plan includes a low-volume campaign, and guided setup registers it for you.
How does E911 work on PBXflex?
Each PBXflex extension has its own E911 emergency address, registered and managed in the app next to your numbers. When someone moves desks or offices, update their address in the same place.
